Overview
Polaris RI ("Polaris," "we," "us," or "our") is committed to protecting the privacy of everyone who uses this website or submits information through our Buyer Readiness Assessment. This policy explains what personal information we collect, why we collect it, how we use and protect it, and what rights you have over it — in line with the Data Privacy Act of 2012 (Republic Act No. 10173) and its Implementing Rules and Regulations, as administered by the National Privacy Commission (NPC) of the Philippines.
By submitting the Buyer Readiness Assessment or otherwise providing personal information to Polaris, you acknowledge that you have read and understood this policy.
What We Collect
We only collect information you choose to give us. Depending on how you interact with Polaris, this may include:

We do not knowingly collect sensitive personal information as defined under Section 3(l) of RA 10173 (such as health, religious affiliation, or government-issued ID numbers) through the Buyer Readiness Assessment. Please do not include this type of information in any free-text field.
Why We Collect It
We process your personal information only for purposes that are declared, specified, and legitimate, consistent with the Data Privacy Act's principle of proportionality — meaning we collect no more than what is reasonably necessary. Specifically, we use your information to:
- Evaluate your buyer readiness and assess whether current opportunities genuinely match your goals
- Contact you regarding a qualified match or to clarify details in your assessment
- Maintain internal records of buyer inquiries for quality and continuity purposes
- Comply with applicable legal and regulatory obligations
Legal Basis for Processing
Under RA 10173, personal information may only be processed when at least one lawful basis applies. Our processing of your data relies on:
- Consent — you voluntarily submit the Buyer Readiness Assessment with knowledge of this policy
- Legitimate interest — evaluating and responding to genuine buyer inquiries is core to the service you are requesting
International Users
Polaris RI primarily serves buyers in the Philippine property market, but our buyer profile explicitly includes returning Overseas Filipino Workers (OFWs) and international buyers submitting an assessment from outside the Philippines.
If you are located in the European Economic Area, United Kingdom, or another jurisdiction with its own data protection law, you may have additional or equivalent rights under that law (such as the GDPR) alongside those described in this policy — including the rights to access, rectify, erase, restrict, and port your data. Where our processing of your information is subject to such a law, we intend to honor the higher standard of protection it provides.
Where your information is transferred across borders — for example, stored with a cloud service provider outside the Philippines — we take reasonable steps to ensure it continues to receive a comparable level of protection, consistent with NPC guidance on cross-border data transfers and internationally recognized safeguards such as standard contractual clauses.
How We Protect It
Consistent with the Data Privacy Act's requirement to implement reasonable and appropriate organizational, physical, and technical security measures, Polaris:
- Restricts access to personal information to personnel who need it to evaluate your assessment
- Transmits data over encrypted (HTTPS) connections
- Stores assessment data with access controls appropriate to its sensitivity
- Reviews data handling practices periodically as our systems evolve
No method of transmission or storage is 100% secure. If we become aware of a personal data breach that poses a real risk to you, we will notify the National Privacy Commission and affected individuals in accordance with NPC Circular 16-03, generally within 72 hours of discovery.
Sharing & Disclosure
We do not sell, rent, or trade your personal information. We may share limited information only:
- With a property specialist internally assigned to your inquiry, strictly to facilitate a genuine match
- With service providers who support our operations (e.g., form processing, email delivery) under confidentiality obligations
- When required by Philippine law, regulation, or a valid order from a competent authority
We do not disclose your information to unrelated third parties, sellers, or other buyers without your consent.
Data Retention
We retain your personal information only for as long as necessary to fulfill the purposes described in this policy, or as required by law. If your assessment does not result in a match, we retain your information for a limited period in case a suitable opportunity arises later, after which it is securely disposed of or anonymized upon your request or at the end of the retention period.
Your Rights Under RA 10173
As a data subject, the Data Privacy Act grants you the following rights, which you may exercise by contacting us at any time:
- Right to be informed — know how and why your data is processed
- Right to access — request a copy of the personal information we hold about you
- Right to object — withdraw consent or object to processing, including for direct marketing
- Right to erasure or blocking — request removal of your data where it is no longer necessary, unlawfully obtained, or you have withdrawn consent
- Right to rectify — correct inaccurate or outdated information
- Right to data portability — receive your data in a commonly used, electronic format
- Right to damages — seek compensation for damages arising from inaccurate, unlawful, or unauthorized use of your personal information
- Right to lodge a complaint — file a complaint with the National Privacy Commission
Cookies & Similar Technologies
This site does not use tracking or advertising cookies. It does not store data in browser localStorage or sessionStorage. Standard web server logs (such as IP address and browser type) may be retained temporarily for security and diagnostic purposes only.
Children's Privacy
Polaris RI's services are intended for individuals who are at least 18 years old and legally capable of entering into property transactions. We do not knowingly collect personal information from minors. If you believe a minor has submitted information to us, please contact us so we can remove it.
Changes to This Policy
We may update this policy from time to time to reflect changes in our practices or legal requirements. The "Last updated" date at the top of this page will always reflect the most recent revision. Material changes will be communicated where appropriate.
