Overview

Polaris ("Polaris," "we," "us," or "our") is an adaptive business intelligence company. This policy explains how we collect, use, and protect personal information across techbuilds.solutions and each of our intelligence modules — including Property Intelligence and its Buyer Readiness Assessment — in compliance with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) as administered by the National Privacy Commission (NPC), and consistent with widely recognized international data protection principles, including those reflected in the EU General Data Protection Regulation (GDPR) and the OECD Privacy Guidelines.

This policy applies to visitors of our corporate website and to individuals who submit information through any Polaris intelligence module, such as the Property Intelligence Buyer Readiness Assessment.

What We Collect

The information we collect depends on how you interact with Polaris:

We do not knowingly collect sensitive personal information (health data, religious affiliation, government ID numbers, and similar categories under Section 3(l) of RA 10173, or "special category data" under GDPR Article 9) through any part of this site.

Why We Collect It

Consistent with the proportionality principle under RA 10173 and the data minimization principle under GDPR, we collect no more than is reasonably necessary to:

  • Respond to consultation requests and inquiries about our intelligence modules
  • Evaluate and act on submissions to a specific module, such as a Buyer Readiness Assessment
  • Maintain accurate internal records of business inquiries
  • Meet applicable legal, regulatory, and tax obligations

Legal Basis for Processing

We process personal information on the following legal bases, recognized both under RA 10173 and internationally recognized frameworks such as GDPR Article 6:

  • Consent — you voluntarily submit an inquiry or assessment with knowledge of this policy
  • Legitimate interest — responding to and evaluating genuine business and buyer inquiries is core to the service you are requesting from us
  • Legal obligation — where processing is required to comply with Philippine law or regulation

International Users

Polaris is based in the Philippines and primarily serves the Philippine market, but we recognize that visitors — including returning Overseas Filipino Workers (OFWs) and international buyers — may access our site or submit information from outside the Philippines.

If you are located in the European Economic Area, United Kingdom, or another jurisdiction with its own data protection law, you may have additional or equivalent rights under that law (such as the GDPR) alongside the rights described in this policy. Where our processing of your information is subject to such a law, we intend to honor the higher standard of protection it provides.

Where personal information is transferred across borders — for example, stored with a cloud service provider outside the Philippines — we take reasonable steps to ensure it continues to receive a comparable level of protection, consistent with NPC guidance on cross-border data transfers and internationally recognized safeguards such as standard contractual clauses.

How We Protect It

In line with the security requirements under RA 10173 and internationally recognized standards for reasonable technical and organizational measures, Polaris:

  • Restricts access to personal information to personnel who need it to respond to your inquiry
  • Transmits data over encrypted (HTTPS) connections
  • Applies access controls appropriate to the sensitivity of the information held
  • Reviews data handling practices periodically as our systems and modules evolve

No method of transmission or storage is completely secure. Should we become aware of a personal data breach posing a real risk of harm, we will notify the National Privacy Commission and affected individuals in line with NPC Circular 16-03, generally within 72 hours of discovery — a timeline aligned with GDPR's own breach-notification standard.

Sharing & Disclosure

We do not sell, rent, or trade personal information. We may share limited information only:

  • With Polaris personnel directly handling your inquiry or assessment
  • With service providers supporting our operations (such as form processing or email delivery) under confidentiality obligations
  • When required by law, regulation, or a valid order from a competent authority

Data Retention

We retain personal information only for as long as necessary to fulfill the purposes described in this policy, or as required by law, after which it is securely disposed of or anonymized.

Your Rights

Whether under RA 10173 or an equivalent international framework, you generally have the right to:

  • Be informed about how and why your data is processed
  • Access a copy of the personal information we hold about you
  • Rectify inaccurate or outdated information
  • Erasure — request deletion where data is no longer necessary or consent is withdrawn
  • Object to processing, including for direct marketing
  • Data portability — receive your data in a commonly used, electronic format
  • Lodge a complaint with the relevant supervisory authority

Cookies & Similar Technologies

This site does not use tracking or advertising cookies, and does not store data in browser localStorage or sessionStorage. Standard web server logs are retained temporarily for security and diagnostic purposes only.

Module-Specific Notices

Some Polaris intelligence modules collect additional information specific to their function and maintain their own detailed privacy notice. Currently:

Where a module-specific notice exists, it supplements — and in case of conflict on module-specific matters, takes precedence over — this general policy for that module only.

Changes to This Policy

We may update this policy from time to time to reflect changes in our practices, our modules, or applicable law. The "Last updated" date above always reflects the most recent revision.
